This position plays an important role in the Health Science Education Center as a key point of contact for students and visitors to the building. This position provides administrative, scheduling, space and communications support for a variety of spaces within the building. They also assist the Office of the Vice President for Academic Health Sciences to support programming, events and communication efforts. 30 % Student and Visitor Services Manage front desk for 3rd floor “Health Sciences i” - provide customer service and navigation of building and resources for students and guests Provide accurate information, assistance, and support in response to questions from students and visitors Possess a working knowledge of the UMN system, colleges, campus, and make accurate referrals Answer main phone line and respond to department email Manage fingerprinting services for healthcare professional students, U of MN student volunteers at MHealth, and other University affiliated healthcare learners and professionals (residents, UMP) Manage fingerprinting schedules and maintain communications with experiential education coordinators in schools and programs regarding fingerprinting needs Maintain fingerprinting contract with Gemalto and collect and process payment for services Track fingerprinting usage and make recommendations on future needs Perform fingerprinting as needed Receive mail and deliveries
30% Administrative Support and Calendar Management Manage scheduling and check-in for shared student services on 3rd floor, including touch-down spaces in 3rd floor space Manage room access, scheduling, and upkeep for assigned spaces throughout the building to ensure access, security, and a welcoming environment for students and guests Manage departmental calendars
Communicate with facilities and operational staff management about needs of assigned spaces throughout the building Order office and other supplies as needed on UMarket Keep relevant program materials in stock, up to date, and organized Plan and implement organizational efforts around the office and in department storage areas Reserve classroom space for special events outside of office space Assist with any maintenance, cleaning, and technological needs for department
15 % Events, Communications, and Outreach Maintain updated building communications on monitors throughout the building Manage departmental email accounts Assist with website updates and departmental communications
15 % Supervising student staff Hire, train and supervise student support staff Oversee student employees in their office management and fingerprinting duties - determine appropriate tasks for student staff and ensure efficient use of their time Create schedule for student staff to cover needs of front desk, fingerprinting and upkeep of assigned spaces throughout HSEC Prioritize student employee projects
